Meeting Minutes

Treasury Report: Mark reported he deposited $621 on the 15th of Sept. Our current balance is $2409.12. In addition we have $100 petty cash, $73 in the Sun. Ace fund and $44 in the wed. ace fund. This is the total to date. Hunt just gave him $152 in CTP Cash and $11 in Frenzy cash which still needs to be deposited, and is NOT included in the current balance, and he reimbursed himself for $17.18 at Big Lots, and $10.51 for Carnival from various expenses for the Frenzy. This included:

Soda
Chips X 4
3 12 Packs of Pepsi Products
Receipts have been turned in.
$234.85 was the cost of the trophies and has been paid to Floyd.
Ryan Carpenter has been paid for his Ace. On the 9th, three aces were hit, and the players split a total of $150.00
Hunt reported that Jim Toll donated 5-6 tee shirts to the LDGA.
New Members: 2 new members signed up during the Frenzy. There were two renewals: Becky Meutzel renewed for 2010, and Tallmadge paid for 2009. Because of the cut-off, he is actually good until 2011. There are roughly 45 people who have renewed for 2009, out 102 original members. Mark will make copies of old membership apps for Kenny. Total membership is at 104 people. This includes those who have renewed and those who haven’t.
New Business:
•Frenzy at Flatrocks: We had 57 participants, with 2 juniors (their entry fee was $15), and three women. There was $1130 in entry fees. The ace fund is unaccounted for. The actual total was $1275.00. This was exact Money raised. $188 was not stolen. This means $1087 was stolen. Hunt will procure a copy of the theft report. Insurance covered $200. Jim Toll’s cost for shirts was $142 total, and he has been paid. We have paid Floyd $233.50. There is $887 that is still unaccounted for. The money was stolen on August 30th. $145 was received from tee-shirts, etc. $50 was taken out for trophies and remaining discs. $30 was collected in new members, and $20 in renewals, which went directly to Mark Boden that day, Aug. 29th. $95 was collected from tee-shirts. Chuck was paid out $101 dollars that night, for discs. This is after the $500 worth of discs had been distributed, which came from CTP funds. Since then Hunt has found a cheaper source of discs as a future option. The $887 is all club cash. We discussed how repayment should be paid. A time frame was discussed. The conclusion is this: Hunt will return the money, in one form or the other Mark will write out a receipt for each payment, as well as making a separate deposit every time he deposits. There will be a time-limit of a nine-month repayment plan, with negotiations being on the table of the possible pay-cut. The facts will be put out for all the members to understand what happened and what will be done. This would mean this debt will be paid off by 6/22/2009.
•We need to work on giving the membership packets to the new members. Bag tags and t-shirts need to be distributed. Hunt will announce at tomorrow’s scrambles about creating the new logos.
• We will begin having announcements at the beginning of each scramble. Hunt will be held responsible for executing this. Announcements will include as a Standard:

•Membership Appreciation Day: This will be held November 1st, and will be funded from the CTP. Hunt and Detroit will make flyers. Sign up is at 2:00
•Detroit brought up the fact that we need to begin preparing for elections, which in the past have been held in November.
• We discussed options for new disc golf parks in Fairfield COunty. This includes Elder Rd. Route 22, and Alley Park. Jeff White is a former OU contact for the LDGA, and he has the supplies and resources to create a nine hole course on the back of the OUL grounds. This will only happen if we, as the LDGA, express an interest and advertise this course. EDGE will support another nine holes on the course.
• We discussed options for the CTP money, and will possibly hold a large CTP for the last wed. scramble of the year, with dividing divisions.
•Detroit would like donate wood and time to build non permanent structures ( 2-3) for shelter on the course. He will need to talk to Lancaster Parks Director Mike Oberton.
